MSDS Distribution using Hazox® Document Dispatch™ |

Document Dispatch™ provides a mechanism for distributing (M)SDS's and other documents. When tied into a company's order processing system, Hazox® automatically dispatches the appropriate regulatory documents based on the current order as well as the customer's order history.
The following features and advantages of using the Hazox® Document Dispatch™ module to manage the distribution of (M)SDS's and other regulatory documents are:
Interface to Order Entry Document Dispatch™ provides significant savings in administrative time by issuing documents automatically when interfaced to your order processing system. Hazox® has interfaced to most packaged manufacturing software as well as custom designed systems.
Product/Document Reference Table Document Dispatch™ provides a cross reference table that keeps track of the correspondence between products and documents.
Private Branding Private branding of your products can be easily configured through Hazox® Document Dispatch™, allowing alternate product names to appear on documents sent to different customers or markets. Additionally, a customer's logos and address headers can be added to the document.
Distributing by Automatic Rules or upon Request Document Dispatch™ will send documents based on automatic rules that may trigger when a revision has been made to a document for a previously ordered product, or when a user-defined period of time has passed. In addition, a document can be requested manually by bypassing the automatic procedure.
User-Defined Cover Letter Before generating the documents for each order, Document Dispatch™ creates a cover letter and a list of the enclosed (M)SDS's. The body of the cover letter may be edited to the user's design. With a mail-merge style feature, order-specific and customer-specific data items can be incorporated in the letter. Many customers use the cover letter as a marketing document to introduce new products or provide other information.
Multiple Output Options The cover letter, list of (M)SDS's, and the documents themselves may be directed to a designated printer, fax, or e‑mail based on customer preference. The flexibility of output destinations can reduce costly clerical effort, and help eliminate chances for errors or omissions while offering better customer service.
Extensive Customer History Tracking Customer Service and Quality Assurance departments often need to investigate the history of document activity to support customer requests. The Document Dispatch™ module tracks all activity automatically, and provides a flexible reporting facility to help answer these requests.
